Outplay provides an option to resume the prospects automatically in sequence once you get an Out of Office reply from the prospect.
Please follow the steps below to enable this feature.
Enable Out of Office configuration under Org settings:
Login to Outplay.
Navigate to your Profile and click on the settings.
Navigate to Org Settings.
Scroll to Out of Office option.
Enable the toggle.
Once the toggle is enabled, the system will show the below-mentioned fields -
Enable Bot to predict a Return date.
The default number of days to resume a prospect in a sequence.
Enable Bot to predict a Return date. (The default number of days to resume a prospect in a sequence, the bot will automatically assign a return date based on the Out of Office email received from the prospect, but in case the details are not specified, the user can add a manual date.)
How to enable Out of Office configuration under Sequence settings?
Validation: Please note, to set OOO configuration for sequence settings, it must be set in Org settings first.
Login to Outplay
Navigate to Sequences.
Select the sequence for which you want to enable the OOO configuration to Settings.
By default, the system will auto fetch the settings from org settings,
Users can overwrite these settings and click on Save.
Please find below the Email Content on which Outplay marks the prospect as Out of Office or Autoreply.
Most of the phrases Outplay looks for are in English, but we do look for these four phrases in German (abwesenheitsnotiz), in French (absence du bureau), in Portuguese ( fora do escritório), and Israel i.e. Hebrew ( ).
How the language detection functionality will work?
How BOT will work and identify the return date?
BOT will identify the return data mentioned in that email and populate the same in a popup to user/SDR whenever there is any out-of-office email or auto-reply.
SDR will have an option to accept the date shown by BOT or manually update the date and save the details.
Once the return date is saved, the system will resume that prospect in the sequence automatically on that date
Users can modify the return date manually within the following sections of the platform, depending on the workflow and usability.
Once the OOO / auto-reply email will come, the system will automatically create the transaction in the Live feed tab. SDR can click on that transaction and the system will open the popup.
Prospect Activity tab
Prospect Activity tab: SDR can also see the OOO reply by navigating to Prospect >> Activity tab. SDR can click on the Click here link to open the BOT.
Bell icon i.e. Notifications
Bell Notifications: Once the OOO / auto-reply email comes, the system will automatically create the transaction in the bell icon. SDR can click on the Click here link to open the BOT.
Sequence >> Prospects
Navigate to the respective sequence.
Navigate to the Prospects tab.
Click on the Paused tab.
For prospects who are marked as OOO, an auto-reply will show the date on which the prospect is going to be resumed.
Click on this date and the system will open the calendar.
Select the date you want to set as the date on which the prospect will be resumed.
On selecting the date, the previous date will be overwritten by the new date.
Prospects >> Sequence
SDR can also see the OOO reply by navigating to Prospect >> Sequence tab. SDR can click on the return date visible to modify the same.
Prospects >> Emails
Users can also see the OOO reply by navigating to Prospect -> Emails tab. SDR can click on the return date visible against the green ribbon to modify the same. On clicking the date, the calendar will popup and SDR can choose to change the date.
