How does Outplay identify meeting duplicates?

How to identify duplicates and de-dupe them

Duplicates will be identified basis on the Meeting name, participants, and meeting duration details i.e. start/end time.

If any two events are matching on the above criteria then the system will identify them as duplicates and will not be captured.


Below are scenarios on which the logic is based.

Scenario 1:
If the organizer of the meeting is an Outplay user and the attendee is only a single prospect.

Result: The meeting will be linked to the organizer and the prospect

Scenario 2:
If the organizer of the meeting is an Outplay user and attendees are multiple prospects

Result: The meeting will be linked to the organizer and the meeting will be linked basis the last activity date from that bunch of prospects. Link the same meeting to other attendees but don't create duplicates

Scenario 3:
If the organizer of the meeting is a prospect and the meeting is scheduled with one Outplay user.

Result: The meeting will be linked to the organizer i.e. prospect in this case and the SDR or AE with whom it is booked.

Scenario 4:
If the organizer of the meeting is a prospect and the meeting is scheduled with multiple Outplay users.

Result: The meeting will be linked to the organizer i.e. prospect in this case and the recent SDR or AE (from the list of Outplay users who are invited to that meeting) who has contacted that prospect. Link the same meeting to other attendees but don't create duplicates

Scenario 5:
If the organizer of the meeting is a prospect and his multiple teammates are invited too and the meeting is scheduled with multiple Outplay users

Result: The meeting will be linked to the organizer i.e. prospect in this case who has booked the meeting and the meeting will be linked basis on the last activity date from that bunch of outplay users. Link the same meeting to other attendees but don't create duplicates

Scenario 6:
If the organizer of the meeting is an external user who doesn’t exist in Outplay

Result: Check from the attendee’s list if there is any prospect who exists in Outplay then map the meeting to that prospect. If there are multiple prospects involved and all exist in outplay then map the meeting basis the recent activity date.

If there are multiple Outplay users i.e. SDRs or AEs involved then check who has recently contacted the prospect in that account and map the meeting to that SDR or AE. Link the same meeting to other attendees but don't create duplicates

Meeting cancellation Logic

If the organizer be it a prospect or Outplay user cancels the meeting, then cancel the meeting for all the attendees and fee the slot

If any attendee cancels or declines the meeting, then remove that attendee’s name from the attendee list and free his/her slot.

The attendee will not be visible in the meeting information.
