How to avoid reading Emails of Internal Users

Adding User Domains to the "Do Not Create Prospects" List

Overview

This article explains how to add user domains to the "Do Not Create Prospects" list by default in Outplay. This feature prevents internal users from being created as prospects and stops their internal emails from being read by the system.

Why This is Important

Prevents creation of unnecessary prospect profiles for internal team members
Maintains data hygiene by focusing on external contacts only
Protects privacy of internal communications
Improves system performance by reducing irrelevant data

How to Add User Domains

Log in to your Outplay portal
Navigate to Settings > Company Settings >> Org Settings

Locate the "Do Not Create Prospects" section
Enter your company's email domain (e.g., "@yourcompany.com")
Click "Save"

Best Practices

- Add all email domains used by your company
- Review and update the list regularly, especially after mergers or acquisitions
- Communicate this setting to your team to ensure they understand why internal contacts won't appear as prospects

Troubleshooting

If you notice internal users still being created as prospects:
- Double-check that all company domains are included in the list
- Ensure the changes have been saved successfully
- Contact Outplay support if the issue persists

For further assistance, please contact the Outplay support team.

Outplay will automatically add the domain with which you have signed up in the Do Not Contact section to avoid creating your internal users.

If you try to add the prospect whose domain is part of this Do Not Contact section, you will see the error as

It looks like the domain of the prospect you’re trying to add is part of a restricted list.
