Use Meeting Type to book multiple prospect meetings
Share a single meeting link to several prospects and book multiple meetings seamlessly.
How do you ensure that every prospect you interact with has a clear-cut path to booking a meeting with your sales team?
Through Meeting Type, you can invite prospects to book a meeting with you or a member of your sales team in a few clicks. With a single meeting type link, your prospect can select a preferred time slot and book a meeting. The opportunity will be assigned to an available member of your sales team.
For example, you’re pitching your product over a video conference with several guests. A prospect is genuinely interested and wants to discuss further. How do they reach out to you?
Simply share your Meeting Type link in the chatroom of the video conference! Your prospect can choose their preferred time slot and effortlessly book a meeting with you or a sales representative in your team.
NOTE:
This feature can only be accessed by an Admin account.
Ensure that your calendar is connected to your Outplay account.
Add your team members to ensure that meetings are assigned.
To create a Meeting Type
Go to Profile → Settings.
Navigate to the Company section and click on Meeting Type. Then, click on the Add Meeting Type on the top right side of the page.
On the Add Meeting Type page, enter information in the fields for Meeting Type and Description, and select the Duration of the meeting.
Under Meeting Distribution Type, you can choose Random or Round Robin.
Configure without Routing Rules: Here, the meeting will be assigned to a team member with the least number of meetings.
Configure with Routing Rules: With this option, the meeting will be assigned to a team member according to preset criteria. The criteria based on the number of Employees, Industry, Location, and Account Ownership of the prospect can be set in the following pop-up window. Additionally, you can also choose specific team members to whom you want to assign these specific meetings.
Random Selection: When this option is selected, the meeting will be assigned to a team member in no particular order or criteria.
Round Robin Selection: When this option is selected, you will have two options:
Configure without Routing Rules: Here, the meeting will be assigned to a team member with the least number of meetings.
Configure with Routing Rules: With this option, the meeting will be assigned to a team member according to preset criteria. The criteria based on the number of Employees, Industry, Location and Account Ownership of the prospect can be set in the following pop-up window. Additionally, you can also choose specific team members to whom you want to assign these specific meetings.
Click Save.
Go back to the Meeting Type page and find your Meeting Type.
Click on Copy Link and share the link with your prospects.
Prospect View:
When a prospect clicks on your Meeting Type link, they will be redirected to the Scheduling page where they can select a preferred time slot for the meeting.
Then, the prospect would be required to share a few essential information.
Once the prospect confirms the meeting, it would be assigned to a team member as per the distribution type set for the meeting.
Roles and Permissions for Meetings:
At the company level, users may be granted access to three functionalities:
To view meetings owned by the same team: You can view all meetings assigned to your team.
Manage All Team Meetings: You can view and edit meetings of other members as well as yours.
Allow SDRs for Reassignment: This Allows team members to reassign meetings among each other.
