Importing Multiple Phone Numbers and Emails via a CSV

Outplay allows you to upload multiple phone numbers & emails of a prospect via the CSV import option. Outplay also increased the import limit from 1000 prospects/file to 10,000 prospects/ file. Yes, you read it right! You can now import 10,000 prospects per file, and you can import any number of files in a day.

Importing Multiple Prospects

When importing prospects via CSV, the user needs to make sure the first row in your spreadsheet is a header row (i.e., a row containing column names).

Steps to Import Prospects:

  1. Navigate to the Prospects page in the left main menu.

  2. At the right upper corner, click on Add Prospect dropdown.

  3. Select Import Prospects from the dropdown.

  4. Select the type of objects you would like to import, i.e., Only Prospects or Accounts with Prospects.

  5. Choose Import type as CSV.

  6. Next, click on Choose a file button.

  7. Select your CSV file to upload in the popup.

Assigning Columns

After selecting the file, click on continue and do the field mapping between the CSV file fields and the respective Outplay fields.

Adding Multiple Emails for a prospect

While assigning columns, make sure if you have multiple emails, then map the email id you want to keep as primary or default with the Primary Email Id field under Outplay Fields.

In case of multiple email id’s map them under the headers as Work Email, Personal Email & Other Email.

Adding Multiple Phone Numbers for a prospect

While assigning columns, make sure if you have multiple phone numbers, then map the phone number you want to keep as primary or default with the Primary Phone field under Outplay Fields. In multiple phone numbers, map them under the headers as Work Phone, Mobile Phone, Home Phone & Other Phone.

Please note: Store the column values mapped to these fields as Alternate Emails and Alternate Phones. Set the type of Email based on mapped fields.

After Importing prospects.

The prospects are imported. If the user selects a sequence, they will all be immediately added to the sequence. Otherwise, you can add them to a sequence later.

NOTE: You can add 10000 prospects at once into outplay.

Changing Default / primary email id

If you have multiple emails ids available and you want to change the primary email id of the prospect. Follow the below-mentioned steps.

  1. Navigate to Prospect profile

  2. Click on the down arrow button and select Set default to set the second email id as the default one.

  3. Click on the down arrow button and select Delete if you want to delete the email id.

  4. You can also change the Email id type of the default email id to Personal/Other.

Please note: Changing the default email id of the prospect will update the default email id in CRM as well (if sync is either bidirectional or set to outbound, If the email id is deleted in Outplay, then the email id will be deleted in the CRM too.

Changing Default / primary phone number

If you have multiple phone numbers available and you want to change the primary number of the prospect. Follow the below-mentioned steps.

  1. Navigate to Prospect profile.

  2. Click on the down arrow button and select Set default to set the second email id as the default one 3.

  3. Click on the down arrow button and select Delete if you want to delete the email id.

  4. You can also change the Email id type of the default email id to Personal/Other.

Please note: Changing the default phone number of the prospect will update the default phone number in CRM as well (if synch is either bidirectional or set to outbound); if the phone number is deleted in Outplay, then the same will be deleted in CRM as well if sync is enabled.

FAQ’s Points

No restriction on how many alternate emails/phone numbers can be imported.

While importing CSV, please see the below actions:

  1. If users select Skip, then the system will not do any action.

  2. If action is selected to update missing fields, the system will check whether there is already a number/email id available in alternate fields; if it's available, the system will not do anything for those fields.

  3. If action is selected as overwriting missing fields, then the system will check whether the import CSV file has the values or not; if the values are there, then the system will overwrite with the data present in the CSV.
